Receiving


Automatically update orders and inventory levels...
Whether using the GBMS WMS module with POP, or interfacing to an external front office / financials application, the receiving process is closely tied to purchasing and inventory control functions. GBMS will immediately update purchase orders and inventory levels as goods are received in the system.

Efficient receiving process...
You can perform receiving transactions from either the data collection application on a hand-held device, or via the main graphical user interface. The data entry process is almost identical for each method, with the main user interface allowing for a more detailed review of transaction information prior to posting.

Regardless of the data entry method, you can initiate the receiving process by scanning or typing in the document number that is being received against (this would be the purchase order or RMA number). Next, the system displays a list of items from the order, and then you can select the items being received.

Capture packing slip number and actual quantity received...
After you have selected the item to receive, you can capture both the vendor's packing slip quantity and the actual received quantity. The system will flag discrepancies in the receiving history and on the receiver document.

Utilize a wide range of features...
GBMS' wide range of receiving features let you define receiving tolerance for under/over shipments, record and track the manufacturer and internal lot / serial numbers with automatic generation of bar code labels, palletize received goods before moving them into inventory, and automatically generate the receiver document.

For example, as quantities are recorded, GBMS can automatically print barcoded inventory labels for items that are not pre-barcoded by the vendor. Once all items in the shipment have been received, you can close the receipt, and the system will generate the related documents, such as the inspection and put away advices.

Capture serial or lot information...
During receiving, items that were set up to capture serial or lot numbers will prompt you to scan/enter this information before posting the receipt line. If an item has been configured to generate a serial or lot number, this ID is generated when the line is posted.

  • Packaging option to palletize received goods before movement into inventory; automatic printing of pallet “license plate” labels for one-step tracking of pallet movement in the warehouse

  • Print a put away advice document upon completion of receiving. This document can include suggested locations based on a rich set of warehouse space management parameters

Related Documents & Reports
  • Receiver — Hardcopy report providing the same item and quantity information entered during the receiving transaction. Account personnel can use this report to match receipts with vendor invoices


  • Receiving Summary Report— Summarizes goods received in a particular date range. Filter this report by warehouse, PO type, vendor, customer, item category, item number, and/or date range
