Automate any GBMS document... Pick and choose which documents in GBMS will support WFA. For example, if WFA is enabled for sales orders, the Workflow tab will appear for each order. Other examples of GBMS documents are Projects, Quotes, Requisitions, Purchase Orders, Item Master, and Work Orders. Additional automation features include: · Setting up defaults that will populate when a document is accessed / processed (e.g., automatically entering a project name) · Creating custom validation codes that tie SQL code to a button. For example, fast-track customers that pass a defined credit limit · Automatically email users when a document is moved to a specific state. For example, set up the system to automatically notify sales representatives when an order has been approved Detailed workflow tracking and history... Record and track workflow history, such as date/time, the logged-in user, event description, and related notes. For example, quickly identify the last user who worked on the document. Additionally, you can optional document detailed notes for each workflow stage. Defined role assignments and complete system security… Enhance system security by dictating exactly which user roles can perform certain workflow tasks. For example, designate that only the Credit Manager can move a ‘Credit Pending’ order to ‘Approved’ status. Additionally, the WFA module includes an ‘Act-As’ feature that lets a user assign temporary authorization to a different user to perform the next button click. This is useful, for example, when a manager wants an order entry clerk to move an order to a specific state. Also, hide or disable buttons for selected user roles. Users can combine WFA with GBMS’ Delegation features, which would automatically give authority to another user for a specific time period. For example, if a supervisor was going to be out of town, she could quickly (and temporarily) assign her authority to a manager who could then move documents through the applicable stages. Customized displays… Customize the display on the document’s Workflow tab. For example, add detailed instructions for each workflow state. Or, incorporate hyperlinks to Excel spreadsheets and other external systems. You can also create pop-up forms that prompt the user to enter information when a certain button is clicked. Additionally, the WFA module integrates with GBMS’ main browser-based user interface, enabling users to drive information into the homepage. For example, when Credit Managers log onto GBMS, they can immediately see which orders are on hold pending credit approval, and then access those orders directly from the homepage. Simplified project workflow... Simplify a complicated project procedural process by automating repetitive work and reducing content errors. Automatic workflow documentation… Automatically document existing workflow on demand in HTML, Microsoft® Excel, and/or Visio formats. This gives a conceptual presentation of the entire automated business process. Minimal technical knowledge required… Change or maintain workflow scripts and related configuration with minimal technical expertise. GBMS simplifies the activation of WFA for a document by programmatically performing the steps needed to prepare a WFA framework. Advanced reporting tools... Generate reports on basically any aspect of WFA. For example, quickly identify exactly what orders are sitting in a specific state for a specified amount of time. |
