Sales Order Processing

Orders

Easily create and process quotations...

Enter quotes, track revision history, and conveniently convert a quote to an order. Salespeople can utilize configure-to-order sales kits and access complete prospect / customer history information. The configure-to-order feature lets you tailor items to customer specification, and configure both sales kits and manufactured items. Using the configure-to-order option, changes made to an item in a quotation are order-specific and do not affect the item’s master record. These changed item configurations are carried over when the quote is converted to a sales order.

Other options in quotation entry include tracking anticipated close dates and probability of close for sales forecasting. You can then sort various forecast reports by sales rep and sales teams.

Automate the entire sales order process...

When integrated with other GBMS modules, the order entry functionality gives you centralized access to each step in the order process—from related vendor purchases, build-to-order item status, order picking, to shipping and invoicing transactions. You can enter sales orders manually, convert them from quotations, or import them from external ERP, Financial or EDI programs.

Used in conjunction with the WMS and/or SFC modules, the item types on the order will automatically generate related documents, such as pick lists for stock items, work orders for build-on-order items or services, and PO’s for purchase-on-order items. You can then directly route each of these documents to the appropriate department or vendor via hard copy or e-mail.

Quickly track order status...

Track the status of any sales order by accessing detailed information on associated picks, PO’s, work orders, and shipments. The order’s Related Documents screen lets you quickly drill-down to desired documents for detailed information.

Support multiple cost and price models…

The order entry process supports multiple cost and price models, such as Cost By Source, Destination, or Special Cost Schedule. Combine cost markup pricing with any of the cost models.

Access detailed information about item availability…

When combined with the WMS and/or SFC modules, you can view details about product availability directly on the order entry screen. An available quantity field for each order line displays current available inventory while the Available-To-Promise calendar displays information on current allocations for approved orders, as well as incoming inventory for PO’s and scheduled work order deliveries.

Simplify order editing…

Easily edit an order after it has already been approved. GBMS offers a special edit functionality that checks the status of related documents (e.g., pick lists, work orders, shipments) and then limits changes based on those statuses. For example, if a customer cancels a portion of an order that has already been sent to the warehouse for picking, the edit feature can check to see whether or not the warehouse has taken any action yet and then allow edits based on that pick status.

Record notes for each order...

Accessed from the sales order toolbar, the Document Notes screen lets order entry and customer service reps log notes for each order, which is automatically date, time and user stamped. Also, when an order is approved or edited, GBMS automatically logs a note in the same screen with the date, time and user information.
